Click on Stock > Stock & Order Items > New Item
select Item Type – generally either Stock Item if you are operating stock control for this item or Consumable Item if you are not keeping track of stock of this item
You should see an input form like this for Stock Item type:

or this for a Consumable Item type:

and complete the following:
Stock Code – enter a short name/ code for this item (you can search on this when selecting for an invoice line item)
Name – full name for this item (you can search on this when selecting for an invoice line item)
Description – an extended description of the item if required; could include things like brief specification or drawing reference (this can be displayed or hidden on the order/ invoice)
List Price (Stock Item type only) – if also sold, the default price which will appear against this line item when selected as an order or invoice line item, else leave blank
VAT Rate – the VAT rate for purchased items will determine if and where the invoice values will appear on the VAT Return
VAT Commodity Code (Stock Item type only) – for Intrastat reporting only, else leave blank
Barcode (Stock Item type only) – the barcode text or number if required else leave blank
Stock Pack Size (Stock Item type only) – the unit of measure you use to count the item in stock if you are operating stock control for this item
Sales Pack Size (Stock Item type only) – if also sold, the unit of measure which the List Price relates to (and which will appear on your sales order or invoice)
Sales to Stock Pack Size Conversion Rate (Stock Item type only) – converts the sales quantity to a stock quantity for booking out of stock if you are operating stock control for this item
Default Expense Code (Consumable Item type only) – the default expense account that this item will be charged to when included on a supplier invoice (this will take priority over ant default expense account set up on the supplier account, and can be changed during the processing of the invoice)
Spread Cost over more than one Month (Consumable Item type only) – where a cost relates to more than one month, for example quarterly rent, or annual insurance costs, a tick in this box will prompt you to enter the start and end dates for the charge period when processing the supplier invoice, and the application will calculate the cost for each month based on calendar days to appear in your Profit and Loss account
Manufactured (Stock Items only) – tick if Item is manufactured rather than bought in and complete ‘Manufacturing’ tab else complete ‘Suppliers’ tab.
Click on Create and the item record is added to the Stock and Order Items listing page, and is available for selection when creating an order/ invoice, else Cancel to return to the Stock and Order Items listing page without creating the item record.
